AppFolio Optimization Checklist

A practical checklist for companies that already use AppFolio but still have too much manual work, inconsistent workflows or unreliable reporting.

1. Inventory the work happening outside AppFolio

Start with spreadsheets, email, shared drives and manual trackers. Those workarounds often reveal where the current implementation is not supporting the operating process.

Document the workaround, who uses it, why it exists and what would have to change before it can be removed.

3. Audit data quality

Reporting and automation depend on clean source information. Review coding, duplicate records, statuses and property-level consistency.

Fix recurring causes of bad data rather than only cleaning the output.

4. Revisit accounting and reporting

Identify the reports management actually uses and trace them back to the source structure. If reports require repeated cleanup, the problem is usually upstream.

5. Optimize leasing and maintenance

Leasing and maintenance are common places where teams create manual workarounds. Review lead follow-up, renewals, work orders, turns and vendor workflows.

6. Identify automation and AI opportunities

After the workflow and data are stable, look for repetitive information handling, reporting and document work that can be reduced.

Prioritize use cases where the impact can be measured.
