REAL OPS GUIDE

Yardi Implementation Checklist

A Yardi implementation checklist built around configuration discipline, data readiness, reporting requirements and the workflows the real estate operation needs to run.

1. Define scope by business process and module

Yardi implementations can become complex quickly when scope is defined only by modules. Translate the project into actual business processes and decide which processes, properties and teams are included in each phase.

Document dependencies between accounting, leasing, maintenance, reporting and integrations.

  • Properties and entities in scope
  • Voyager functions and supporting modules
  • Accounting requirements
  • Operational workflows
  • Interfaces and integrations
  • Reporting and data outputs

2. Establish property and accounting structures

Property hierarchies, entities, chart structure and business rules influence reporting long after implementation. Validate the structure against ownership, management and reporting requirements before large data loads begin.

Include finance and operations leadership in the design.

  • Entity and property hierarchy
  • Chart and coding standards
  • Security and role design
  • Approval rules
  • Management reporting requirements

3. Prepare data by domain

Treat residents, leases, vendors, properties, accounting and documents as separate data domains with their own owners and validation criteria.

Data readiness should be visible in the project plan, with measurable quality thresholds.

  • Source inventory
  • Cleanup ownership
  • Mapping rules
  • Conversion cycles
  • Validation criteria
  • Archive strategy

4. Build reporting requirements into design

Do not wait until the end of implementation to ask whether management can get the information it needs. Reporting requirements should influence structures, coding and workflow decisions.

Identify both operational and financial reports and the questions leadership expects the system to answer.

  • Owner reporting
  • Portfolio reporting
  • Operational exception reporting
  • Accounting and financial statements
  • Property-level performance information

5. Test end-to-end workflows

Test a complete business process rather than isolated fields or screens. A leasing, payable or maintenance workflow should be tested from initiation through approval, accounting impact and reporting.

Include exceptions, reversals and unusual scenarios.

  • Leasing cycle
  • Accounts payable
  • Resident accounting
  • Maintenance workflow
  • Month-to-month reporting cycles
  • Security and approvals

6. Train, cut over and stabilize

Training should reflect responsibilities and business rules. During cutover, define what stops in the old environment, what starts in Yardi and how unresolved items are handled.

Post-launch stabilization should include a prioritized issue list and clear ownership.

  • Role-based training
  • Cutover checklist
  • Issue triage
  • Reporting validation
  • Post-launch workflow review
